This policy explains how HelloMedSpa handles information on hellomedspa.ai and in the services we operate for medical spas and aesthetic practices.
Information we collect
- You give us: name, business name, email, phone number, and anything you type into our forms, chat widget, assessment, or booking calendar.
- Collected automatically: IP address, browser and device type, pages viewed, referring source, and similar analytics data collected through cookies and site tracking scripts.
- On behalf of clients: when we operate AI channels for a practice, we process the caller and patient information described in our HIPAA & Security page as that practice's service provider.
How we use information
To respond to inquiries and book consultations, to deliver and support the services a client has purchased, to secure and improve our platform, to send business communications you request or that relate to your account, and to meet legal obligations. We do not sell personal information.
Sharing
We share information with service providers that make the platform work — hosting and database, telephony and messaging, CRM, email delivery, and analytics — under contracts that limit their use of it. We may also disclose information when required by law or to protect our rights. When we act as a business associate, sharing is further limited by the applicable Business Associate Agreement.
Cookies and tracking
Our site uses cookies and analytics scripts to understand traffic and attribute inquiries. You can block or delete cookies in your browser; some site features may not work as intended if you do.
Retention and security
We keep information for as long as needed for the purposes above or as required by contract or law, then delete or de-identify it. Data is encrypted in transit and at rest, and access is limited to personnel who need it. No system can be guaranteed perfectly secure.
Your choices
You may request access to, correction of, or deletion of your personal information, opt out of marketing email at any time via the unsubscribe link, and reply STOP to any text message to stop SMS. If you are a patient of one of our client practices, contact that practice first — we act on its instructions and will forward your request to it.
Children
Our services are intended for businesses and adults. We do not knowingly collect information from children under 13.
